SGR0450 - Attendance Percentage by Course

This report is used to determine if a student meets the 90% attendance rule for awarding or denying credit. For each period, the report displays course, instructor, and attendance information, including the course number and section, total absences, percentage the student was present for the course based on the course entry date, and percentage the student was present for the entire course based on days the course was taught.

The absences listed are for the days the class meets. If not correct, verify in the section record that the days of the week the class meets are accurate.

TIP: This report can be used by teachers who choose to exempt students from taking exams if they meet a certain attendance requirement.

Be sure to review district policy regarding Absence Types.

Report fields

Run the report:

ParameterDescription
Ending School Year (YYYY)

Type the four-digit ending school year. For example, for the 2023-2024 school year, type 2024.

Campus ID

Type the three-digit campus ID, or click ellipsis button to select the campus.

Semester (1, 2, 3, 4)

Type the one-digit semester.

Valid semesters are 1 and 2.

For a four-semester campus, valid semesters are 1, 2, 3, and 4.

Course Nbr (Blank for All)

Type the course number, including all leading zeros. Or, click Picklist to select the course. Leave blank to select all courses in the district.

Section Nbr (Blank for All)

Type a specific section number, or leave blank to select all sections.

Attendance Track (Blank for All)

Type the two-digit attendance track. Leave blank to select all tracks.

Include Withdrawn Students (Y, N)

Y - Include withdrawn students.

N - Do not include withdrawn students.

Include Withdrawn Courses (Y, N)

Y - Include withdrawn courses.

N or blank - Do not include withdrawn courses.

Absence Types (Blank for All)

Type the one-digit absence type codes, separating multiple codes with a comma (e.g., A,E,F). Or, click Picklist to select the absence type code.

If blank, you must enter a value for Count Tardies as Absences.

Count Tardies as Absences (# Tardies=1 Abs, Blank=No)

Type the one-digit number indicating the number of tardies that equal one absence. Leave blank not to convert tardies to absences. If blank, at least one Absence Type must be selected.

Divide Absences and Membership in Half (Y, N)

Y - All absences, student membership days, and course membership days are divided in half to be approximately equal to an alternating A/B block schedule. Do not use this option if the classes meet the same day each week and course meeting times have the appropriate day codes.

N - Do not use this option.

Control Nbrs (Blank for All)

Type the three-digit instructor IDs (control numbers), separating multiple IDs with a comma (e.g., 112,131). Or, click ellipsis button to select the instructor IDs. Leave blank to select all instructor IDs.


View Error List

The preview displays the button if the report was run for all course numbers, section numbers, and instructor IDs, and there are students taking different sections of the same course during the same semester. The exception report includes withdrawn courses even if you chose to exclude them.

1. Click View Error List to view the exception report.

2. Click Return to Main Report to return.
