Transcript Exchange Export
❏ Add logic to the extract to only pull in high school level courses, if specified.

The Home Campus is the campus for the student before the Xfer Fact would have been saved to the student's record. The information is populated from Demo 2, Att Zone Home Campus. If the Valid Campus is blank, the student is out of district.
• Added validations to the Active Code field on the SRG2600 report parameters screen to only allow “1”, “2”, or “blank”.

❏ Modified the utility to add an Use Att Zones NY checkbox to allow campuses to set the NY Campus in Registration > Maintenance > Student Enrollment > Demo 1, based on the campus assigned to the student in the Attendance Zone directory and their Year End Status in Registration > Maintenance > Student Enrollment > Demo 3. Selecting Use Att Zones NY disables the NY Campus drop-down. Clearing the NY Campus drop-down, enables Use Att Zones NY. Use Att Zones NY does not appear for districts that have not enabled the Attendance Zones feature in Registration > Maintenance > District Profile > District Maintenance > Attendance Zones Options.
Upon execution, this utility will provide a report of the students who successfully got a NY Campus assigned and an Errors report of the students that did not get a NY Campus assigned.
• Students with Year End Status of 02, 10, and 15 will get a NY Campus assigned that is their Home Campus if the student address is in the Attendance Zones directory. Their Home Campus may differ from their current campus if they are not currently attending their Home Campus. Otherwise, the student will appear on the Errors report with the message AZ Address Not Found. In that case, these students are Out of District.
• Students with Year End Status of 01, 03, 04, 06, 11, and 14 will get a NY Campus assigned that has the grade level that they are progressing to if the student address is in the Attendance Zones directory. Otherwise, the students will appear on the Errors report with a message AZ Address Not Found.
• Students with a Year End Status of 12, 13, 21, 22, and 23 will not get a NY Campus assigned. The students will appear on the Errors report with a message Unable to Identify NYC.
• Students in EE and 12 grades with a Year End Status of 01 will not get a NY Campus assigned. The students will appear on the Errors report with a message Non Promotional Grade
• Students with a blank Year End Status will not get a NY Campus assigned. The students will appear on the Errors report with a message Missing Year End Status.
This utility is run in preparation for “transferring” students to their NY Campus for scheduling purposes.

After setting up the local program PEB for the campus and adding the local program PEB to students, users will navigate to Registration > Reports > Registration Reports > Student and click on SRG6000 – Pandemic Electronic Benefit Transfer (P-EBT) (2021 Summer). The user then enters Ending School Year 2022 and Local Program Code PEB. To get the district extract that will be uploaded to www.YourTexasBenefits.com, the user has two options:
The “DRptSrg6000PEBT…” csv file is for informational purposes only (it may insert character that may cause upload errors) and contains students in the district with the local program code of PEB.
The PEB_File.csv file should be used to submit to www.YourTexasBenefits.com and contains students in the district with the local program code of PEB.
IMPORTANT: The district should inspect the file before uploading to HHSC to ensure that all mandatory fields are there for every student. For example, if the student does not have a zip code in the system, the information will not extract to PEB_File.csv for that student. In turn, this would cause the file to be rejected by HHSC. The file should be inspected by making a copy of the file and inspecting the copy, leaving the original that will be submitted to HHSC intact, thereby, preventing data from getting distorted. If there is missing data for any particular student in any column, the district can go back to ASCENDER and input the data in the appropriate screen and re-run the extract.

The Cumulative file can be executed from Grade Reporting > Utilities > Online STAAR/TAKS EOC Extract or STAAR/TAKS Precoding Extract. The functionality is identical.
Before executing the Cumulative option, the campus/district must execute the individual tests since the Cumulative file is built from the execution of the individual tests. For example, if only TELPAS is executed, the Cumulative will only contain TELPAS precoded students. If all tests are executed, the Cumulative will contain precoded students for all tests (including STAAR EOC, if executed, even though the execution functionality resides in a different screen). Executing the Cumulative option without executing any of the individual tests, will result in an error message, “No data to extract”.
Currently, the Cumulative extract cannot be cleared. The district/campus can re-run an individual test to overwrite the contents of the Cumulative for that test, and, re-run the Cumulative, if desired.

Incomplete records:
The client clicked on a pending referral in Discipline > Maintenance > Referrals and checked the Create Incident box and Saved their selection. An incident number is generated and shows in TeacherPortal. The client is routed to the Discipline > Maintenance > Maintenance tab and the referral information was not copied, and the client DID NOT manually select the referral information (i.e., Location of Incident, Reported by, Administered by, and so on) to Save. Instead, they clicked out of the screen without completing the information. This has created a “ghost” record where the incident is not part of the student record in Discipline > Maintenance > Student > Inquiry. The incident also does not appear in the Referrals screen as pending, it shows as complete. The record is still in the database without referral details.
Through a DBA Assistant change, TCC has set the referrals back to pending so that clients can go back to the Discipline > Maintenance > Referrals screen and complete the incidents again.
Incorrect records:

An incident number is generated and shows in TeacherPortal. Upon clicking Save, the program created a new incident number, different from the first incident number that was generated. The incident shows as completed in Referrals and the incident is part of the student record in Discipline > Maintenance > Student > Inquiry. There is a discrepancy between the incident number in ASCENDER and TeacherPortal.
Through a DBA Assistant change, TCC has consolidated the incidents so that each incident has a matching incident number as shown in TeacherPortal.
