Leave Type Description - HRS2100

Payroll > Tables > Leave > Leave Type Description

This tab is used to create or change leave type codes and descriptions (long and short). These codes are then used to document and track employee leave or absence. Users cannot delete a leave type that is being used by the Leave Type table.

Create a leave type description:

Field Description
Start Leave TypeType a leave type code to narrow the number of leave type codes that are displayed on the tab.

❏ Click +Add to add a row.

Leave TypeType a two-digit state or district-assigned leave code.
Description ShortType the short name that best describes the leave code. The short description can be a maximum of ten characters and is printed on the check stub and the earnings records.
Description LongType the long name that best describes the leave code. The long description can be a maximum of 20 characters and is printed on reports.
StatusClick Drop-down Arrow to select a status (A - Active or I - Inactive) for the selected leave type.
Use For Dock TRS DaysSelect to include the leave type in the extract when calculating the number of days worked.
Comments RequiredSelect to require employee comments for specific leave types when creating a leave request in EmployeePortal.
Post Against Zero BalanceSelect to allow employees to post leave against zero balance leave types when creating a leave request in EmployeePortal.
Absence Reason

Click to open the Absence Reasons To Leave Type pop-up window. A list of available (active and inactive) absence reason codes is displayed.

Select the absence reason codes that you want to assign to the selected leave type.

Click OK. Otherwise, click Cancel. A paperclip is displayed on the Absence Reason button to indicate that the leave type has associated absence reason codes.

Notes:

An inactive absence reason code can be selected; however, it cannot be selected on leave transmittals or leave requests submitted in EmployeePortal.

If an absence reason code is tied to an existing (processed or unprocessed) leave or substitute leave transmittal, the field is selected and disabled, and cannot be cleared.

NoteClick to add notes to the selected leave type. The entered notes are displayed when the employee selects the leave type in EmployeePortal.

❏ Click Save.

Other functions and features:

Retrieve

The Retrieve button is also used to retrieve information from the last save. If you click Retrieve, any unsaved changes are lost.

PrintPrint the report. Review the report.
Trashcan Icon

Click to delete a row. The row is shaded red to indicate that it will be deleted when the record is saved.

Click Save.
