Course Assignments

Grade Reporting > Maintenance > Student > Individual Maint > Crs Assign

This tab allows you to assign a course to a student and view data for all entry and withdrawal dates for the current year.

NOTE ABOUT CHANGING SCHEDULES: If it is early in the school year and the student does not yet have course information such as grades, you can modify a student's schedule or delete a course that was added accidentally. Otherwise, it is recommended that all schedule changes be completed on the Course/Section Change tab where course information such as grades can also be moved.

❏ Click Retrieve.

  • The student's demographic data is displayed.

  • Graduation Plan information is displayed if available. If a student has a Graduation Plan and is pursuing or has completed Foundation High School Program (FHSP), is pursuing or has completed the Distinguished plan, and/or is pursuing or has completed any of the five endorsements, that information is displayed below the student ID.

  • The Status field displays ACT (active) or W/D (withdrawn) according to the student's current enrollment status.


Include All WD Courses

Select to display all of the student's withdrawn courses. If selected, the grid displays the entire history (i.e., entry and withdrawal dates) for the current year, with the most recent entry date listed first.

Rows with withdrawn courses are shaded gray and display a date in the WD Date field.

If a student is withdrawn from the campus, he is automatically withdrawn from all course-sections. You must select Include All WD Courses to see the student.


Current Entry Date
Semester of Entry

The semester in which the student first enrolled at the campus is displayed as entered on Registration > Maintenance > Student > Individual Maint > Demo1 or W/R Enroll.

For example, if the Semester of Entry is 2, you can only enter courses for semester 1 if they are marked as transfer courses (i.e., if Xfr Crs is selected), because the student’s original entry date is after the end of semester 1.


Current Track

The attendance track the student is currently on for the campus to which you are logged on is displayed. This is the attendance track with the most current enrollment date on Registration > Maintenance > Student > Individual Maint > Demo1 or W/R Enroll.

Current Sem #

The dates on which semester 1 and semester 2 begin for the student’s current track are displayed.


Act Crs

Select to reactivate one or more withdrawn courses in the student's most current semester of enrollment.

Only withdrawn courses can be reactivated; Include All WD Courses must be selected in order to see the courses that can be reactivated.

Transfer courses (i.e., Xfr Crs is selected) cannot be re-activated.

This field is disabled for previous semesters (e.g., if the student's re-enrollment date is in the second semester, the Act Crs field is disabled for the first semester).

The student's Current Entry Date will be used as the course entry date.


❏ Click +Add below the semester schedule to add a course to that schedule.

A blank row is added to the grid.


Course

Click to select the course.

Section

Only unlocked sections of the course can be added (i.e., sections for which the Lock field is not selected on Maintenance > Master Schedule > Campus Schedule > Sections).

Title

The course title is displayed.

Per

The class period for the course-section is displayed.

Entry Date
WD Date

To withdraw a student from a course, type the student's withdrawal date in the MMDDYYYY format. The date is the first school day after the last date the student attended the class.

A student can be withdrawn and reentered in the same courses multiple times.

The rows with withdrawn courses are shaded gray once the record is saved.

If a student has multiple entries and withdrawals for the same course-section, and if grades and attendance were ever posted for the student for the course-section, that data is retrieved to the student's most recent entry, regardless of when the attendance and grades were posted.

Entry and withdrawal date edits:

• The date must be a valid school day for the cycle, and the withdrawal date cannot be before the course entry date.

• The dates must be valid membership dates in the campus calendar for the student’s track.

• The dates are specific for the semester in which the student is enrolled in the course.

• The entry date cannot be before the student’s first day of enrollment, unless it is a transfer course (i.e., Xfr Crs is selected). Transfer courses are not included in the Classroom Link extracts for summer PEIMS.

• If a student withdrew then reentered the same course-section, the reentry date cannot overlap previous enrollment dates for the course-section. Also, the reentry date cannot be the same as the previous withdraw date for the course-section.

Xfr Crs

Select if the student took the course at a different district or campus in the same school year. If selected, the entry date must be before the student’s current campus entry date.

Grades for transfer courses are used in grade computations and grade point averaging; however, PEIMS does not extract transfer courses.

Slf Pcd

The field is selected for self-paced courses, as indicated by the Self Paced field on Maintenance > Master Schedule > District Schedule, and cannot be updated from this tab.
